The Personal Data We Collect
- Enquiry and contact details: your name, organisation, email address, phone number and the content of your enquiry, when you contact us or complete one of our forms.
- Client engagement records: contact details, correspondence, quotations, site and job information, invoicing and payment records.
- Imagery from our work: photographs, video and thermal imagery captured during commissioned work. This can incidentally include people who are present at a site or event.
- Website data: limited technical data (such as device and browser information) collected through cookies and similar technologies described below.
Where we receive personal data from someone other than you (for example a client who books work at a site where you are present, or an event organiser), that client or organiser is our source. We do not collect special category data (such as health, ethnicity or biometric data) and our services are not directed at children.
Why We Use It, And Our Lawful Bases
- To respond to enquiries and provide our services: performance of a contract, or steps taken at your request before a contract.
- To keep business and accounting records: legal obligation (records are retained as required by HMRC and company law).
- To run and improve our business, including limited business-to-business marketing and portfolio use of anonymised commercial work: legitimate interests, balanced against your rights, with any electronic marketing conducted in accordance with PECR and stopped on request.
- Where we ask for your consent (for example featuring identifiable people in marketing): consent, which you may withdraw at any time.
Drone And Site Imagery
Some of our work involves aerial and site photography, video and thermal imaging. We plan flights and surveys to focus on the commissioned subject and to minimise the capture of people; where individuals are incidentally captured, the imagery is handled under this notice, used only for the commissioned purpose, and identifiable individuals are not used in marketing without consent. If you believe you appear in imagery we have captured, contact us and we will act on your rights below, including blurring or removal where the imagery is not required for the commissioned purpose or a legal obligation.
Who We Share It With
We use a small number of service providers as processors: website hosting, email and cloud storage, our customer relationship and accounting systems, form services, and AI services operated under the safeguards in our AI Policy at www.dronemediaimaging.co.uk (no personal data is used to train any AI model). We share data with our professional advisers and HMRC where required. We do not sell personal data. A current list of processor categories is available on request.
Some providers process data outside the UK. Where they do, transfers are protected by UK adequacy regulations or the appropriate safeguards (such as the UK International Data Transfer Agreement or Addendum).
How We Keep It Secure
Business records and imagery are held on our own secured systems in the UK, with encrypted backups on reputable cloud services and access limited to the people who need it. Client-confidential material handled with AI tooling follows the safeguards in our AI Policy. Our data handling is governed by written procedures under change control. If a personal data breach occurred that put your rights at risk, we would tell you and the ICO as the law requires.
How Long We Keep It
- Enquiry records that do not become client work: up to 24 months from last contact.
- Client engagement records, including financial records: 6 years after the end of the financial year they relate to, in line with statutory requirements.
- Commissioned imagery and survey data: for the period stated in your engagement terms or quotation, after which it is deleted or archived per those terms.
- Website analytics and cookie data: per the cookie settings and durations described at www.dronemediaimaging.co.uk.
Your Rights
You have the right to ask for access to your personal data, correction, erasure, restriction of processing, data portability, and to object to processing based on legitimate interests, including direct marketing, which we will always stop on request. Where processing is based on consent, you can withdraw it at any time. To exercise any right, contact us via www.dronemediaimaging.co.uk; we respond within one calendar month. If you are unhappy with how we handle your data, you can complain to us via www.dronemediaimaging.co.uk: we acknowledge complaints within 30 days and respond without undue delay. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113 at any time.
